Secure Email Pre-Onboarding Questionnaire

This document serves as a checklist to gather all required information before configuring Cloud Maven’s Secure Email application. Collecting these details ensures the application is properly aligned with the client’s Salesforce processes, domain settings, automation needs, and compliance requirements.

Who should fill this out: Sections 1–2 are best answered together with your Salesforce admin and IT/email contact. Sections 3–8 are typically completed by your Salesforce admin, since they involve page layouts and automation. If you're not sure who owns a section, just leave it blank and flag it — we'll walk through it on the kickoff call.


1. Onboarding & Contacts

2. Domain & Email Setup

Do you have an existing Paubox account, or do you need one set up?(Optional)


Do you need a subdomain used instead of your primary domain? (We support this if required.)


Which email address to be used as Reply-To Address?

The address replies should go to, if different from the "From" address. Example: emails send From secure-email@yourcompany.com, but replies go to support@yourcompany.com.

Cloud Maven will provide an email address for you to set as the Call Forwarding Rule on the Reply-To address.


Reply-To Address is the email address that recipients’ replies are sent to instead of the original sender’s “From” address.

Example

Recipients see the email coming from secure-email@yourcompany.com, but when they hit Reply, the message goes to support@yourcompany.com.


3. Source Object Details

Which record type(s) should have the Secure Email feature?

In Salesforce, this is called the "Source Object" — e.g., Case, Opportunity, Patient Record, Contact.


Which apps need the Secure Email button or Related List list visible?

Example: "Service Console."


Which page layouts/lightning pages need the Secure Email button or list visible?

Example: "Case Detail page," "Service Console."


Which specific screens need the Secure Email component? This component keeps a track of all the Outbound/Inbound Secure Emails from the record. you can Reply or Compose a New Email from this component as well.

This is what Salesforce calls "Lightning Record Pages" — the layout a user sees when they open a record.



4. Email Address Behavior

If a record has more than one email field (e.g., Patient Email, Guardian Email), should the user pick which one to send to?

If yes, list the fields to include. If no, name the single default field to always use.


Do you want Contact lookup to appear when selecting emails in the To field? (Valid: only when the Source Object is Contact)


When emails go out, what should recipients see as the "From" address?

Choose: the logged-in user's own email, or a shared/generic address (recommended for support teams). If a shared address, please provide it.


Do you want the From Address and Reply To Address configured based on the Record Type?
