Document Workflow Status And Description

Overview

This guide explains the different Document Workflow Statuses available in DocGen & eSign and helps users understand the current stage of a document throughout the generation and eSignature process. It also describes what each status means and the appropriate action users may need to take based on the document's current status.


Understanding Document Workflow Statuses

1. Workflow Initiated

This status indicates that the document workflow has been successfully started.

The system has received the request to process the document and has initiated the required workflow. Depending on the configuration, the workflow may include document generation, signer configuration, and preparation for eSignature.

What it means for the user:

  • The workflow has started successfully.

  • The system is processing the requested action.

  • The document may not yet be available for signing.


2. Document Generated

This status indicates that the document has been successfully generated using the selected document template or uploaded document.

The generated document is now available for the next step in the workflow, such as sending it to the configured signers for eSignature.

What it means for the user:

  • Document generation was successful.

  • The document is ready for the next workflow step.

  • No action may be required unless the workflow requires the document to be sent for signing.


3. Awaiting Signature

This status indicates that the document has been sent to the required signer(s) and is waiting for one or more signatures.

If sequential signing is configured, the document will be routed to signers according to their assigned signing sequence.

What it means for the user:

  • The document has been sent for eSignature.

  • One or more signatures are still pending.

  • The workflow will continue as the required signers complete their signing actions.

Example:

If a document has three signers:

Signer 1 → Signer 2 → Signer 3

the workflow remains in Awaiting Signature until all required signers complete their signing actions.


4. Workflow Completed

This status indicates that all required signing actions have been successfully completed.

Once the final signer completes the required signature, the workflow reaches its completed state.

What it means for the user:

  • All required signatures have been collected.

  • The signing workflow has successfully completed.

  • The completed document can be accessed according to the application's document management configuration.

Note : The signing certificate is also available for verification or download.


5. Workflow Expired

This status indicates that the document's signing period has expired before all required signatures were completed.

Once the workflow expires, the pending signing request can no longer be completed through the expired workflow.

What it means for the user:

  • The document was not fully signed before the expiration period.

  • Pending signers can no longer complete the signing request.

  • A new signing workflow may need to be initiated if the document still needs to be signed.


6. Signature Declined

This status indicates that a signer has explicitly declined to sign the document.

The workflow cannot proceed normally after a required signer declines the document.

What it means for the user:

  • A required signer has declined the signing request.

  • The document has not received all required signatures.

  • The document may need to be reviewed and resent or restarted based on the business process.


7. Workflow Failed

This status indicates that an unexpected error prevented the document workflow from completing successfully.

A failure may occur during different stages of the process, such as document generation, document processing, delivery, or signing.

What it means for the user:

  • The workflow could not complete successfully.

  • The document may require investigation before the process can continue.

  • Review the available error or workflow details to determine the cause and appropriate next step.


8. Document Voided

This status indicates that the document or signing workflow has been intentionally cancelled or voided.

A voided document cannot continue through the existing signing workflow.

What it means for the user:

  • The current document workflow has been cancelled.

  • Pending signing actions are no longer valid.

  • If the document still needs to be signed, a new workflow may need to be initiated.
